Job Descriptions:

The purpose of this role is to work closely with the tender committee in handling all submittals. Key focus would be to maintain records of all minutes of meetings and decisions across the committee members. You will also provide expert administrative and secretarial assistance to Tendering team.

  • This role provides high level administration support to the Tender Committee (TC),handling confidential matters such as preparation of Tender Committee submissions, track weekly submissions, approvals and ensure approved documents are distributed and uploaded on Darcom
  • Prepare Minutes of Meetings, agendas, reports, schedule meetings and all clerical functions for the Procurement Department
  • Review TC submissions for compliance and ensure all Projects Team are using the updated / latest templates and all submittals are in line with TC Charters
  • Facilitate decision making by providing advice to users to ensure all TC submissions are in line with ALDAR Procurement Policies and Procedures
  • Ensure a checklist is attached of the reviewed TC submissions every week and decisions marked out on them
  • Track all TC submissions in Excel with complete submission details and approval process for future audit purposes
  • Publish the TC final outcomes / results and retrieve the same when required
  • Liaise with users on behalf of the TC Secretaries
  • Lead administration processes of the TC weekly meetings and ensure all users from sites will present their respective items
  • Manage meeting agendas and follow up on all outstanding actions
  • Issue final TC Minutes of meeting
  • Finalize TC decisions and circulate to originators
  • Administer procurement site registrations, alerts and submissions
  • Greet visitors and callers, handle their inquiries and direct them to the appropriate persons according to their needs
Report to: Director – Tendering
Business Capabilities
  • 4 to 6 years of experience in procurement /tender committee handling
Interpersonal Skills (TBC)
  • Good analytical and computer skills
  • Ability to communicate effectively,both orally and in writing
  • Great understanding of policies,procedures & work methods
  • Demonstrated skills in building and maintaining strong relationships with internal and external stakeholders
  • Coordinate and issue Agenda for the Tender Committee weekly meeting
  • Prepare and circulate weekly Minutes of Meeting to all TC members
  • Distribution of approved TC submissions to relevant departments & DARCOM
  • Follow-up on all pending TC submissions with relevant departments
Good analytical and computer skills.
Ability to communicate effectively, both orally and in writing.
Great understanding of policies, procedures & work methods.
Demonstrated skills in building and maintaining strong relationships with internal and external stakeholders.

Bachelor degree in business, contract management or a related field.
